This policy explains how XYT Software Solutions ("we", "us") handles personal information collected through this website, in line with South Africa's Protection of Personal Information Act (POPIA).

Who is responsible

What we collect

When you use the contact form, we collect:

• your name and email address
• your message, and the optional budget or timeline you choose to give
• your IP address, recorded with the message to help deal with spam and abuse

 

The website uses the essential cookies needed to keep the contact form secure. It also uses Google Analytics 4 to measure how the site is used, as described under "Analytics" below. It does not use advertising cookies.

Why we use it

We use your details only to reply to your enquiry and, if you go ahead, to work with you on your project. We do not sell your information, share it for marketing, or add you to a mailing list.

Analytics

We use Google Analytics 4 to see how the website is used: which pages are viewed, how visitors found us, the kind of device and browser, the approximate location (city level), and whether the contact form or an email, phone or WhatsApp link was used. Google Analytics sets cookies in your browser (their names start with _ga) and sends this information to Google, which may process it outside South Africa, for example in the United States. Google Analytics 4 does not store your IP address. We have switched off advertising features and ad personalisation, and we do not link this data to your name or to anything you send us through the contact form.

You can block Google Analytics in your browser settings or with Google's opt-out add-on at tools.google.com/dlpage/gaoptout. The website works the same without it.

Who sees it and how long we keep it

Your message is emailed to us and saved in a log on the website's server, which we delete after 90 days. Emails we receive are kept in our mailbox for as long as they are needed for the enquiry or project, and for our business records. The website is hosted on servers and email services that act on our behalf to deliver your message. We do not give your information to anyone else unless the law requires it.

Your rights

You may ask to see the personal information we hold about you, to have it corrected, or to have it deleted. Email us and we will respond within a reasonable time. If you are unhappy with how we have handled your information, you can complain to the Information Regulator of South Africa at inforegulator.org.za.

Changes

If this policy changes, the date at the top of this page will be updated.
